Print at 100 per cent, or the squares are wrong

Every print dialogue offers to shrink the page to fit, and it is usually on by default. For a document that is harmless. For anything where the size on the paper is the point — graph paper, a template, a ruler, a pattern — it silently makes every measurement wrong by a few per cent.

Turning scaling off and accepting that the margins may clip is almost always the right trade, because a clipped edge is visible and a five per cent error is not.

Why is A4 shaped the way it is?

Because the ratio is the square root of two, which is the only ratio that survives being halved. Fold an A4 sheet in half and you get A5 with exactly the same proportions, and that property is what makes the whole series work.

The series is anchored by area rather than by length: the largest size is one square metre, and each step halves it. That is why a sheet has the dimensions it does rather than something round.

The North American sizes have a different ratio and do not share the halving property, which is why scaling a document between the two systems always loses something at an edge.

What can a printer not print?

The outer few millimetres, on most consumer machines. Paper is gripped by rollers, so there is a strip at the edges the print head never reaches — typically around five millimetres, more at the trailing edge.

That unprintable border is why a design running to the edge of the page comes back with a white margin. Genuine edge-to-edge printing requires either a printer that supports it or printing on oversized paper and trimming.

It is also why the fit-to-page default exists. The dialogue is trying to keep your content out of the border, and for a measured page that cure is worse than the disease.

What spacing does graph paper use?

Five millimetres in the metric convention, and a quarter inch in the imperial one — near enough to look similar and far enough apart to matter if you assume the wrong one.

Isometric paper uses a triangular grid at thirty degrees rather than squares, which is what makes three-dimensional sketching possible without perspective construction. Dot grids are the same spacing with the lines removed, which keeps the guide and stops it dominating the drawing.

The one thing all of them need is accurate printing, which brings the scaling question back. A grid printed at 96 per cent is a grid where nothing measures what it says.

What makes a printable worth printing?

Working in one pass, with no ink wasted on things a printer renders badly. Large solid fills drain cartridges and band visibly, so a printable designed with line work and white space produces a better result and costs less.

Anything meant to be written on needs enough contrast to guide and enough restraint not to compete with the writing. Grid lines in a light grey are readable while ruling; the same lines in black fight the pen.

For anything with cells to fill — a chart, a card, a tally — the size of the writing space is the design constraint. A layout that fits more on a page and leaves no room to write is not a saving.

How does a browser decide what to print?

From the page, adjusted by print-specific styling. A well-built printable page hides its navigation, drops backgrounds and sets its own page margins, which is why some pages print cleanly and others come out with a menu across the top of every sheet.

Page breaks are the part that needs deliberate handling. Without instructions the browser breaks wherever the page runs out, which splits a table row or a card across two sheets — and a printable designed properly tells it where breaking is acceptable.

Background colours are off by default in most browsers, which is usually wanted and occasionally not. A design relying on a filled background needs the setting enabled, and it is worth checking before printing thirty copies.

Questions people ask

Which paper size should a template assume? Whichever your readers use. A design that fits inside both common sizes with margin avoids choosing.

Does printing in greyscale save ink? On a colour printer, usually yes, and it can also produce a cleaner line on a grid.

Can I print on both sides of graph paper? Yes, and heavier paper stops the grid showing through, which matters more than it sounds for ruled work.

Why does my print look shifted? Margin settings, or the printer’s own unprintable area differing from the assumed one.

Can I print a calendar with the weeks I need? Yes. A generated calendar can start on any month and use either week convention.

Does duplex printing align? Usually, and long-edge and short-edge binding produce different alignments. Check on one sheet first.

Should I use a PDF or print from the page? Whichever preserves the scale. A PDF is easier to reprint identically later.
